Managing Rehires in Jobylon
Reconnecting with former talents is one of the most efficient ways to scale your team. In this article, we’ll go through how to seamlessly manage rehire eligibility within your company. You can now access the dedicated Rehire page under Company Settings to view and organize your entire database of returning candidates.
Adding a contact
Upload a new contact by clicking the button “Add contact”. Here you provide the basic information for this contact and select an end date for when the rehire eligibility ends. When the date is passed, the contact is automatically not considered as a rehire anymore. To proceed you need to confirm you have the rights to upload this candidate. After saving, the contact will be added to the list.
Job notification preferences
When a new contact is added the tray will change to “Step 2” for job notification preferences. Select the categories that are relevant for this contact, and matching jobs will be sent out with the subscription email. You can also decide to do this later, by clicking the button “Skip for now”.
Note: If no preferences are selected and you click save, the candidate will receive notifications for ALL company jobs.
Between categories: Filters use "AND" logic (e.g., matching Department and Location).
Within categories: Filters use "OR" logic (e.g., matching London or New York).
Management and Actions
From the list view you can select one or multiple contacts and do the actions export, delete or end rehire eligibility. If you end the rehire eligibility, the contacts will still be visible in the list, but they will not receive any job subscriptions or be considered as a rehire anymore. If you delete, they will permanently be deleted from the list. When clicking export, you will receive a CSV file with all selected contacts under “My files”.
When clicking the name in the list view, you will come to a single contact page. Here you can change the settings of the filters, or decide to not send out any subscriptions mail at all. You can also decide to only limit the job subscriptions to internal jobs.
Note: In all subscriptions both internal and external jobs are included.
Activity Log and Files
On the right side of the contact page you will see an activity log for all activities for this contact. The logs are divided into months, which you can collapse and expand. When clicking the Export button, all contact information and logs will be provided into a file (CSV) on your profile page under My files.
Email Settings
When clicking the tab Settings on the first page, you can add an intro and outro text for your message. The jobs included in this newsletter will be presented between these two sections.
Further down on the settings page you can also add people from your organization. The selected users should receive an email when an existing rehire contact is added to a job, whether through apply or upload.
The rehire tag and unsubscribing
When a rehire contact applies for a job and becomes a candidate, a rehire tag will automatically be added to their profile. When the date for rehire eligibility ends, the tag will automatically be removed from the candidate.
The rehire contact can unsubscribe from their newsletters by clicking the unsubscribe link. But they will still keep their Rehire tag on their candidate profile.
From the applicant list page, you can also filter out to only show candidates who are considered as rehires.
