This article walks you through the integration between SRI and Jobylon: how to set it up, how to trigger a background check, and how to read the results
How to set it up
If you already have an agreement in place with SRI, reach out to your point of contact at Jobylon and ask them to set up the integration for you. Jobylon will then contact SRI to get the information needed to complete the setup.
How to trigger an SRI background check
Once the setup above is complete, you're ready to trigger background checks from Jobylon, a new "Send to SRI" option appears on the candidate. Click it.
A modal will open with the following fields:
Social security number* – Can be autopopulated from the application, so you don't have to fill it in manually. To collect the SSN, we recommend setting up a candidate form in Jobylon and sending it to the candidate. Once the candidate submits the form, the data will autopopulate this field.
Email – Can be autopopulated from the application.
Phone number – Can be autopopulated from the application.
Service* – Level of background check, e.g.
EXECUTIVE,SPECIALIST,COWORKER,SCREENING,SECURITY_SCREENING_BASIC,SECURITY_SCREENING,SECURITY_CLEARANCEandINTERVIEW.
Recipients* – A list of the recipients account IDs
Verify education – Whether or not to verify the candidate’s education
Verify former employer – Whether or not to verify the former employer
Once all mandatory fields (marked with *) are filled in, click Submit to send the candidate to SRI.
How to read the data in Jobylon
Once a candidate has been sent to SRI and data starts coming back, you can follow the progress through these stages:
INITIALIZING - Sent order. Waiting for SRI to get back
PENDING_CONSENT - Waiting for consent from candidate
IN_PROGRESS - Provider is collecting data
PENDING_APPROVAL - Awaiting approval from candidate
APPROVED - Candidate has approved to share the result of the survey
DECLINED - Candidate has declined to share the result of the survey
TIMED_OUT - Candidate never answered
Each status has an explanation directly on the card, and all statuses sync automatically from SRI.
There are two ways to view the status of a background check:
On the candidate
Scroll down on the candidate profile to find a dedicated SRI partner card. From here you can follow the status of the background check, and use the link provided to go directly to SRI's platform. See examples below:
In the applicant list
You can also see the status and results directly in your applicant list. Click the cogwheel icon and select "Customize list," then add "SRI progress" and "SRI status" as columns. This gives you a quick overview of all ongoing background checks at a glance.
Permissions
Only users with permission to create background check orders in SRI may do so in Jobylon (matched by email address)
Known limitations and constraints
Automations
This integration does not support automations (e.g. automatically triggering SRI when a candidate reaches a certain step). This is a standard native integration, meaning it hasn't been built using the partner API, which is required for automation support.
Bulk triggering
It's not possible to trigger multiple candidates to SRI at the same time (e.g. from the candidate list view). The integration requires the candidate's SSN to send them to SRI, which means each candidate has to be triggered individually.
Notifications
We do not support notifications when a background check has been completed.
